Service Coordinator (HubSpot & Sage Accounts Experienced)

Position Title: Service Coordinator

Reports To: Service Manager / Operations Manager

About the Role

We are seeking a highly organised and proactive Service Coordinator to join our team. This role is responsible for coordinating service activities, managing customer communications, scheduling technicians, and ensuring an exceptional customer experience from initial contact through job completion.

The ideal candidate will have extensive experience using HubSpot CRM and Sage Accounts, with the ability to manage service workflows, customer records, invoicing, reporting, and administrative processes efficiently. Strong organizational skills, attention to detail, and the ability to manage multiple priorities are essential.

Key Responsibilities

  • Coordinate and schedule service appointments, installations, maintenance visits, and call-outs. 
  • Act as the primary point of contact for customers regarding service requests and updates. 
  • Manage customer records, service tickets, and communications within HubSpot. 
  • Create, update, and monitor service pipelines, workflows, and automations in HubSpot. 
  • Process quotations, purchase orders, invoices, and credit notes using Sage Accounts. 
  • Maintain accurate customer account information and financial records. 
  • Liaise with technicians, suppliers, and internal departments to ensure smooth service delivery. 
  • Ensure all service activities, customer interactions, and job updates are accurately documented. 
  • Monitor job completion and follow up with customers to ensure satisfaction. 
  • Generate operational and financial reports using HubSpot and Sage Accounts. 
  • Assist with debtor management and support finance-related administrative tasks where required. 
  • Identify opportunities to improve processes and increase operational efficiency. 
  • Handle incoming calls, emails, and customer enquiries professionally and promptly. 

Essential Requirements

  • Proven experience in a Service Coordinator, Customer Service Coordinator, Operations Coordinator, or similar role. 
  • Advanced working knowledge of HubSpot CRM is essential. 
  • Previous experience using Sage Accounts is essential. 
  • Experience managing customer records, service tickets, workflows, pipelines, and reporting within HubSpot. 
  • Experience processing invoices, purchase orders, customer accounts, and financial administration within Sage. 
  • Excellent organisational and time-management skills. 
  • Strong verbal and written communication abilities. 
  • High level of accuracy and attention to detail. 
  • Proficiency in Microsoft Office Suite, particularly Excel, Outlook, and Word. 
  • Ability to prioritise workload and manage multiple tasks simultaneously. 
  • Ability to work independently and collaboratively within a team. 

Preferred Qualifications

  • Experience within a service, maintenance, engineering, facilities management, or field service environment. 
  • Knowledge of scheduling and dispatch processes. 
  • Experience with CRM workflow automation and process improvement initiatives. 
  • Understanding of basic accounting and finance procedures.
